Location Manager Bulk Import Process
Overview
The bulk import process of location manager information is not intended to be used for updating a single locations field values or adding the values of a small number of new or existing fields. It should only be considered when manual entry exceeds two hours of effort. Consider requesting bulk import when there are changes to many fields across most if not all locations.
- It is important that as the user of the data, the time is taken to verify accuracy after the import is performed prior to users applying to customizable product templates.
- The bulk import process is a chargeable task at the hourly contracted rate for development. Understanding the requirements & limitations and following the steps provided below will limit the effort to two hours or less.
Requirements and limitations
- Bulk imports can only include replacement of data of existing fields and locations. Do not add new fields or locations to the spreadsheet/csv when providing for bulk import, they will be ignored.
- Follow the steps for providing the data for import after new fields and locations are created in location manager that will be affected by the bulk import process
- The data in location_ref (A) & location_name (B) columns are required for the import.
- Do not change the values of the header row (row 1) or the reference codes or location names in columns A & B. When those values do not match existing values the provided changes will be ignored.
- If a location row or a field column is removed, it will be ignored during the import. Removing rows or columns from the csv does not remove fields or locations during the import process.
- The bulk import is not an immediate task that can be performed. Plan on several days to up to two weeks before it can be scheduled to be performed.
Steps to provide data for import
Must be logged in with an account assigned to the Site_Admin user group
- In location manager select one of the locations from the Locations list to reveal the Download CSV button.
- Select the Download CSV button. A csv containing all of the field data will be downloaded to your system. Look for the file named location_data.csv.
- As a member of the Site_Admin group all location data will be in the csv, not just the location you selected in step 1.
- Open the csv file in your preferred spreadsheet editing application.
- Change the contents of the values of the cells for fields you want updated for each location.
- Columns A, B & Row 1 should not have the values changed. If changed the bulk import will skip those fields and locations as it will not be able to locate it in the database.
- Save the changes and send in the completed spreadsheet in Excel or csv format, add any additional instructions or notes in an email to brandportal@suttle-straus.com.
- We will not accept links to online stored documents.
- Coordinate a time with brand portal support for when the bulk import will occur. You will need to let the users know when the import is occurring and ensure no edits to templates or orders are being placed during that time.
- It is important to note, any product added to the cart prior to the import will not reflect the changes to the data nor will any product that was previously ordered if the user elects to reorder the product.
- When the import is complete you will be notified by brand portal support to review the data for accuracy.
- Once you review and confirm it looks good, let the users know they can resume editing content on the site and placing orders.
